Administrative Assistant / Dispatch
Verify documents from technicians for 7 Water Restoration branches,Update bid tracking and all jobs,Verify new jobs that come in , Order parts / supplies,Create PO’s,Code shippers and send to Corporate, Update AR spreadsheet for jobs that are pending/paid/collections/write-offs,Update dispatch board,Add all new jobs to DASH,Make AR calls,Take payments over the phone ,Assist all 7 other branches in day to day operations,Contact insurance companies to submit documents for jobs,Compile all documents for billing,File Pre Liens and Mech Liens on jobs with Accurate Lien,Create and organize files for all jobs,Update branch referrals,Verify all documents are collected and signed and uploaded to DASH and JaRay,Verify technicians timesheets via GPS tracking,Complete inventory of cage once a week,Customers that are past 60 get documents ready and sent to Corporate for collections processing,

Accounts Payable / Accounts Receivable / Operations:
My duties and responsibility concise of but not limited to, invoicing out all service tickets from technicians. Normally bill out on average, between 100 and 200 plus invoices a week. Upload invoices for correct customers using “Corrigo”. Request quotes for service that will excite the “NTE” amount. Provide PO’s for techs. Log and monitor all techs using GPS (uplink) and Fleet Maint.Verify and confirm tech’s time sheets using GPS. Drop ship orders for Albertson’s locations back east, and bill out for correct items shipped. Enter all “Receipt Of Goods” for inventory. Process and submit proper paperwork and documentation to correct counties fire department for all 5yr and or Annual fire inspections. Process and request RMA’s for defective items. Submit job cost for payroll via MAS90.Run aging report and collect on past due invoices. Take care of account change overs. 

A/R, A/P, Payroll, & Operations Specialist

Office assistant for a tattoo distribution center.  Run reports for product sold and do log sheets.  Check amazon account and send restock when needed and run reports for items sold on amazon. Reply to all customer emails in a timely manner. Log invoices for special products, and file them. Help with daily office tasks. 

Office Assistant

Responsible for managing 8 artist, answering the phone, booking and rescheduling appointments. Updating Facebook and website with artist portfolios and convention dates. Book all flights and hotels for conventions and make sure all the necessary paper work is complete for each artist. Take payments from clients and complete invoices for payments. Take care of all paper work for Health Department and Bloodborne pathogens. Log required info for all artist, on each client. Take shop inventory for all supplies as needed (ink, tubes, needles) and restock cabinets. Close out daily register and do artist weekly payroll. Take care of artist 1099 forms, and get tax forms ready for each artist. Log all receipts, bills, invoices and other documents for taxes. Run reports for owners, and make sure all paper work is updated. Make follow up calls & emails to clients to check on tattoo and healing. Organize and run our yearly charity toy drive. Reply to all company emails.

Dispatch techs out to service icee machines, in a timely matter. Call and confirm service calls with customers.  Ordered and received all technicians parts.  Data entry and updating call notes for techs. Follow up with customers to make sure everything is running properly. Help with customer service calls when needed. Train new employees for dispatch department. Answer phone calls, closing out technicians service tickets, scheduling each techs daily service calls. Open new customer accounts, and work on projects for large accounts (i.e. Coca Cola, Taco Bell, 7-eleven, Burger King, ect)

East Coast Disptacher

Managed all invoicing.  Received and formatted leads, organized and handed out to the account executive.  Data entry of clients and updated clients orders in the data base for Google, Yahoo and MSN. Got paper work ready for all new hires and set up all new work stations. Organized client contracts and filled them. Received incoming calls from clients and helped to resolve any issues.  Took inventory and placed staples and FedEx orders.
