•	Preparing Arrival Note to the expatriates, Import permit authorization of  the Institute’s cars and imported items, Personal Effects of the expatriates,  Issuance and return of plates and title deeds, Issuance and renewal of driving license;
•	Processing of all Visa requisitions from Ethiopian Embassies abroad and visa upon Arrival for workshop participants.
•	Handling the case of the visa extension issues of Exit Visa and multiple visa of expatriates.
•	Processing of their visa in Addis Ababa.
•	Handling the case of Immigration affairs, (Issuance and Renewal of Passports.) 
•	Handling the Bill of Sale of cars of expatriate personnel’s and the procedures.
•	Handling in the Import permit procedure of the Institutes Vehicle 
•	Handling of Donation Certificate and the procedures as well.
•	Handling the case of Delegation of shipping agents for the clearance of container and export permit authorization of personal effects.
•	Export back of containers 
•	Export permit Authorization to Customs and Revenue Authority.

Airport Tasks
•	Handling the case of Visa and Airport Transfer Charges of workshop participants. 
•	Handling in the Medical evacuation processes.
Event Organizing
•	Arranging Orientation session for the newly incoming staff members to give an awareness about their privileges and duties.
•	processing the event from the budget authorization until execution,
•	Assists in every need in Annual ceremonies and official functions.

Others
•	Handling of  Fuel Coupon Distribution, 
•	Handling Travel arrangement Transport, 
•	Raising Travel Authorizations, Per diems and Settlement in the OCS
•	Raising Purchase Request of Items.
•	Handling the case of export a sample seeds to other countries,  processing of items that need Ministry of Agriculture License and Items that need INSA License 
•	Handling in Liaising of organization of Federal Police Certificate of Good conduct, dongle purchase and different issues with the Ethio-Telecom, Recommendation letters to different areas to travelers.


•	Handling all the Units administrative issues, 
•	Organizing events, processing the event from the budget authorization until execution, preparing training modules, CD’S Certificates, 
•	Handling of Payment Requests, participate in the process of edition of research papers.  
•	Attending of different validation workshops, seminars and meetings and taking minutes.  
•	Writing reports, preparing of budgets, registering of proposals for competition and at last participating in the granting of funds when the content of the proposal wins, 
•	Preparing payment requests of the granted funds phase by phase and make ready for effect of payment.  
•	Follow up of progress reports until final settlement of the program.
•	Handling of Petty Cash and bank reconciliation.



DUTIES AND RESPONSIBILITIES
•	Processing of Fellowship applications, screening and giving evaluation comments as per the guideline of fellowship applicants.
•	Coordinating with 25 academic institutions by reporting to any question that arose from the academic institutions by referring to dossier of the staff and the organization he is working.

•	Hotel Reservation and Flight Booking, Purchase of tickets, giving guidelines up to 1000  fellowship applicants and follow up of their progress reports and duty draw backs. Taking minutes


Fellowship and General Affairs officer

•	Liaising all administrative affairs of the organization, organizing events, dealing in logistics work by collecting proforma and attending in the office set ups  
•	Preparing Payment Requests and effect of payment and advance settlement 
•	Attending in New Project Office Set Up.
•	Attending of different validation workshops, taking minutes

•	Preparing of budgets
