Executive Assistant to CCO & CTO

Highly motivated and organized individual with strong interpersonal skills seeking an Executive Assistant position with a lifestyle brand to fully utilize my exceptional communication, problem solving, and management skills for the betterment and growth of the Executive and organization.

• 	Coordinate travel itineraries for both domestic and international travel 
• 	Complete expense reports for Senior Executives 
• 	Schedule appointments and meetings, both on and off-site, using Outlook Calendar 
• 	Input timesheets into Vantage, Momentum’s timekeeping system, on a timely basis 
• 	Assist with PowerPoint presentations – create, edit, compile, copy etc.    
• 	Coordinate content and projects as assigned
• 	Proof important communications, marketing and new business materials 
• 	Familiar with client contacts and current projects in order to facilitate day-to-day client correspondence 
• 	Reply to correspondence and handling issues, where appropriate 
• 	Assist with events and projects associated with executives, on an as-needed basis 
• 	Maintain complete confidentiality  

• Manage the day-to-day operations of the office and warehouse (prepare and edit invoices, track orders and inventory, verify receipt of supplies)
• Enhance CEO’s effectiveness by creating spreadsheets, file organization, anticipate needed supplies and expediting orders)
• Receive bills, accounts payable/receivable, authorize payments and confirmations
• Considerable knowledge of Quickbooks


Office Manager

•	Represent the HQ office internally and externally (phone coverage, correspondence, meeting materials and fielding inquiries)
•	Manage bookkeeping, accounts payable/receivable, client records and follow up
•	Track employee hours and product inventory
•	Arrange delivery to/from company project sites, and onsite management support as needed
•	Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment.
